Overview
Control who can see and edit each of your idea views, just like sharing a document. Every view has an owner, and access can be granted to specific teammates, a specific team, or your entire workspace.
View sharing is available on the Business plan, including Business trials.
The basics
Every view has an owner — usually whoever created it.
New views start out private to their owner.
Views that existed before view sharing are unchanged: they stay visible to your whole team, and editable by anyone with the Manage Views permission.
To manage access, open the view's menu (click or right-click the selected tab) and choose Share view.
Access levels
Owner — full control, including who the view is shared with, and deleting it.
Can edit — change the view: filters, columns, sort, rename, and autosave.
Can see — open and use the view (including applying temporary local changes), but not change it for others.
General access
General access sets the baseline for everyone in your workspace:
Restricted — only the people you've specifically added can see the view.
Entire team — everyone in your workspace can see (or edit) the view.
A specific team — restrict general access to one team within your workspace.
Who can do what
Only the owner can change sharing — adding or removing people, and switching between Restricted and Entire team, are owner-only actions.
Everyone with access can see who else has access and at what level — they just can't change it.
Can edit requires the Manage Views permission. If you give someone edit access but their role doesn't include Manage Views, they're automatically limited to Can see. This means Contributors are always view-only.
Deleting a view is limited to the view's owner, or an admin with the Owner admin role who has edit access.
Things to note
The All Ideas and Portal views are always shared with your entire team (and editable by anyone with Manage Views). They can't be made private, and their sharing can't be changed.
If a view's owner leaves the company or loses the Manage Views permission, ownership automatically transfers to an admin with the Owner role — so views are never orphaned or lost.
